Maib continues the digitalization process by inaugurating the Bank’s centralized Archive

Over 1 020 000 scanned files, over 7 500 files taken over from 57 branches and over 400 boxes of documents processed for storage. These are just a few of the results of the Document Centralization and Digitization Service at maib, part of the Operations Department, which, starting March 17, is dedicated to the centralisation of the physical preservation and digitisation of important documents from the bank's archive.

After more than four months of work, at the end of July, maib inaugurated the Centralized Physical Archive, where all documents from the bank's branches and subdivisions will be stored - partly in digital format and partly in physical format.

The maib Archive team is responsible for centralizing bank documents' physical storage and digitization, as well as managing the bank's archival fund. Within it operates:

- Archived Documents Management Group;

- Document Digitization Group;

- Archiving and Control Process Organization Group.

At the inauguration event, the First Deputy Chairwoman of the Management Board, Aliona Stratan, emphasized that the work of these teams is significant in the digitalization of internal processes the bank and the positive effect it has on the customer experience.

"I am happy about the successful implementation of an important stage of the bank's archive centralization project and the remarkable results that this team achieved in just four months after the launch of the Document Centralization and Digitization Service. Today, we contribute to implementing the new operational model by inaugurating the Centralized Archive. We support branches to focus primarily on customer service rather than operational activities, simplify internal processes and ensure easy and convenient access to information for various subdivisions of the bank. I believe that this new structure of maib will have an essential role in the further smooth running of the bank's activity, optimizing efforts and time management".

The Document Centralization and Digitization Service is part of the Centralized Archive Project. Simultaneously with its establishment, the first stage of the project's implementation was also launched - the collection, digitization and centralized archiving of mortgage loan files.

„The centralized physical archive, as part of the Bank's Archive Digitization and Centralization Project, was made according to the best practices in the field, taking into account the experience of other banks in the region and the recommendations of partners in Ukraine and Georgia as well. At the same time, we implemented our ideas and solutions to optimize costs and have the most outstanding possible efficiency. We have greatly simplified the processes, our colleagues having access to various important information in just a few clicks, which also means precious time saved by our customers when they are served in a branch, and a more comfortable experience".

The objective pursued is that all files and information media used in maib subdivisions are exclusively in digital format. In this sense, the bank invests in the optimization and digitization of processes, including through the agile transformation announced at the end of last year and under implementation for more than four months.

"Initially, I perceived this project as a challenge. Still, in the meantime, I realized that it is an excellent opportunity for development, effective team management, and working toward a common goal - to advance to the next level of digitization. In record time, each Archive member acquired new skills that they now successfully apply in practice. Through joint efforts, perseverance, patience, a lot of communication and ambition, today we managed to inaugurate this "encyclopedia" of maib, where you can simply and easily identify the information you need, whether you are in Balti, Chisinau or Cahul".

By inaugurating the centralized Archive, maib aims to contribute in the protection of the environment and encouraging the reduction of paper consumption. Last fall, the maib team planted 3 800 saplings of red oak, elm, hornbeam, ash, acacia, maple, pine and shrubs on a plot of about 2 hectares in Cruzești, a suburb of the capital, a plantation that will primarily contribute upon soil stabilization, will work as a buffer strip for agricultural land, but also bring value to the local community.
